How do passive investors actually track what's happening across units they don't manage themselves
I'm not operating anything directly, a third party handles everything, but I'm trying to figure out how to organize what they send me across what will eventually be a few different positions. Right now it's just one small stake in a 48-unit in Tucson, so the monthly report comes in and I read it and then I put it in a folder and that's about it. But I'm looking at potentially adding a second position by Q1 2026, maybe a 72-unit in the same market, and I don't want to be in a situation where I'm piecing together two different reporting formats every month and comparing numbers that aren't really comparable. The 48-unit manager sends a P&L, a rent roll, and a variance report. I don't know if whoever manages the 72-unit does it the same way or even close. Do most passive investors just build their own spreadsheet that they manually update from whatever the managers send? That seems like where I'm headed but I have no idea what line items to standardize on so the two properties actually sit next to each other in a way that means something. Vacancy, NOI, and delinquency are the three I'd start with but I feel like I'm missing things I don't know to ask about yet.
