Automating the applicant funnel before I have a tenant. Automating a liability?
First rental closes in five weeks, a 1970s three bed in a decent school zone. I've spent more time on screening than on the purchase and I've written criteria I'm happy with: income multiple, credit floor, eviction lookback, pet policy, and a written explanation of each.
The part I built out is the funnel. Listing inquiry hits a form, form triggers an auto-reply with the criteria and a link to schedule a showing, no-shows get one follow-up, applicants who complete screening get a decision message. I built the first version myself in a free tier and a consultant who does landlord systems quoted $1,900 to make it real, including an integration with a screening provider and templated decision messages.
What's stopping me from paying. The automated decision message is where I get nervous. If the sequence sends a decline template and my criteria were applied by hand rather than by the system, my documentation and my message can disagree. Also the auto-reply that tells people the criteria is the thing I most want, because saying the same thing to every inquiry in writing is the whole point, and I could do that with a saved reply for free.
So the $1,900 is really buying the screening integration and the decision templates, which is the piece I trust least on a single property.
I know the fair housing and adverse action side needs a lawyer in my state and I've got a call booked. What I want from people here is the practical question: at one door, does automating applicant communication reduce your risk by making you consistent, or increase it by putting a machine between you and a decision you're responsible for.
