My property manager collects rent and pays bills and I have no idea how to book those net disbursements correctly
The statement she sends shows gross rent, then her 8 percent fee, then repairs she authorized, and I get a number at the end. That net hits my checking account and I have been recording the whole thing as rental income since 2022. My CPA mentioned last April that I should be booking gross rent as income and the management fee as an expense, separately, and that what I had been doing was understating income and understating deductions at the same time. It mostly washes but not exactly, and apparently it matters for Schedule E line by line.
I have nine Kansas City doors running through her. Average monthly gross per door is around $1,100, so roughly $9,900 a month in gross rents that I have been recording as maybe $8,700 after her cut and after whatever she pulled out for maintenance that month. The repair amounts bounce around, anywhere from $0 to $400 on a bad month for a single unit, so I can never reverse-engineer the right number after the fact.
She emails a PDF statement each month and I asked her twice for a CSV or something I can actually import and she said her software does not do that. So I am manually entering from a PDF every month and apparently I have been doing it wrong for two years.
I am not sure how to go back and fix 2022 and 2023 without it being a whole project. My tax returns for both years are already filed. Does this require amended returns or is this the kind of thing that just gets corrected going forward with a note somewhere?
